A recent discussion on TAR’s LinkedIn group asks, "What would you do if you arrived at an appointment to show your buyers a home and another agent was there with her clients?"

Here's a sampling of the many responses: 

  • Call the listing agent to report the situation.
  • Suggest that your clients reschedule.
  • Wait outside with your client until the other agent is done.
  • Introduce yourself to the other agent and let her know that you’re starting the tour outside while they finish inside.

Wait outside until other agent left property.  It is common here in Houston area for selling agent to instruct showing service to allow overbooking.

I believe, if your board has chosen to allow multiple parties see a house at one time, rather than blocking off time for individual showings, then it is polite to understand that you are not the only Agent showing a house and allow other’s to look because their time is just important to them as your time is to you.
Follow your Board’s lead, if they don’t allow multiple showings, then you have the house to yourself, if your Board allows multiple showing, then, unless you own the property, you don’t own exclusivity to showing it.
I try to see the outside first if there are other agents in the house, but if my time has started and my clients have seen the outside, I will stand up for my clients.

It is polite to wait outside until the previous clients and their agent exit the house.
You should make the other agent aware that you are waiting.  Having multiple
viewers makes for a competitive atmosphere and increases the likelihood that they will make an offer.  Oftentimes the offer is more aggressive than it would have been if there had not been perceived competition.  If you are the first group of viewers, be polite and let the other people see the house.  If a person walks in that is not with an agent, introduce yourself, give them a card, get there name and tell them that you will get back with them soon.  Then, go back to your original buyers.  I love competition.

I have one better.  I scheduled an appt for 3:30 for a home that had to have the listing agent present.  She rescheduled my showing to MATCH the time of other showings that same day.  She had to arrive only 15 minutes earlier to prevent the conflict.  My buyer bought it but the next day we had to go back and see it because he couldn’t remember what he had written a contract on.!!

Last Spring during the height of the inventory shortage, I don’t think I would have been able to show at least three sets of my buyers several homes if we weren’t prepared to be stepping over other REALTORS and their clients.

Starting with one listing in North Dallas in Late January and ending about mid-March in Coppell, I had three buyers in a price range where we ended up against multiple showings. I would even ask the showing service if there were times when multie agents would not be showing, and the answer was almost always “no.” On one, which we elected to see at 7 PM because there were no other showing scheduled when I set mine, we ran up against four other showings by the time we got there.

The worst was a time where my client and I counted nearly 50 people in and around a North Dallas home one weekday evening at 5 pm when we were showing.

The bottom line is, to me: one or two showings, be polite, work around each other; when there are five or more agents showing a home, take your clients by the hand and get them in that home to see what they need because we can either be sitting outside waiting on the house to clear out, or I can be back in my car after we’ve seen the house calling my assistant to write up my clients’ offer.  I have even politely asked other people to move in situations like this if my clients needed to see something that was being blocked by a lot of people standing around. It is all about YOUR client. That doesn’t mean we aren’t courteous and polite and respectful to colleagues, but in a tight inventory situation with many showings on one home at a given time, you are your clients’ advocate.

My showing instructions to the showing service covers this situation.  If a showing agents should ask for the same time frame that has already been confirmed with another showing agent, the second showing agent is told that this time frame is already booked and the showing service will ask for another time frame.  I have been showing and not notified that the same time was already booked, so I will ask my Buyers if they want to wait or go on to another home and come back.

Either of the latter two suggestions are preferable.  Rescheduling the showing just because another agent is there with a client is an inconvenience to you as an agent, your Buyer, and most of all to the Seller who has vacated to accommodate showings at that time.  Tour the outside of the home and allow the other agent their space and privacy.  This happens all the time and should not be a problem for anyone who is a professional.

I can understand ladies locking the door from nosey neighbors or worse,  but I have had some agents answer the door when we ring the door bell, because they did not put the key back in the lock box, and say we have an appointment, closing the door behind them.
I don’t want to treat unprofessional behavior with more unprofessional behavior, but I will ring the door bell again and explain that we have this time scheduled too and want to see the home.
My client;s time is just as important to them as your client’s is to them. If agents don’t want to show houses at the same time they should tell their board, or respect other’s time too.

I lock the door behind me - and no I’m not an arrogant jerk. I’ve had nosy neighbors sneak into properties behind me when I’m showing. Locking the door is a SAFETY issue.

As far as showing at the same time or waiting - I play it by ear, but do let the other agent know you are there.  I’ve never had an issue quickly coming to a resolution with the other agent on how to handle the situation.

I agree with having the second at at the property pull the key from the box so the listing agent will have the record and that way I’m sure I’m not letting in a non-agent. Ever have someone pretending to be an agent show or attempt to show your listing? I have. You should NEVER had over the keys (or the combo to the lock box) to a property to someone you don’t know. If they are a Realtor they shouldn’t be offended by asking them to basically prove it by opening the lock box.

If I am showing a property to a buyer, I ALWAYS lock the front door behind me.  I am not locking out other agents, I am doing this for the safety of my buyers and myself.  Just ask if you can come in!  I will then ask you to get the key out of the supra to register your showing.  Safety first!

This happens often and is an easy fix.  When a showing is set up for the same time, they buyer’s agent should be notified another showing has been set for that time and if someone is at the property already to please just extend the courtesy of waiting.  If for some reason, the other agent and buyer are in the property for quite a while, I would just introuce myself and ask the other agent if they mind us touring the outside until they finish; and in the alternative, that we are also scheduled to show the property and just wanted to make them aware we will be waiting outside.

I’ve encountered this situation many times.  I think it occurs because some listing agents allow overlapping appointments.  I wait until the other agent completes their showing.  Then I show my clients as planned.

I would wait till agent is through showing her clients and than go into property. I would also ask the agent to put key back in key box so I can register as a showing to the listing agent. I have had this happen many times and the agents I have encounter are very cooperative. I would never go in before they were through.

I think it depends. If the weather is nice and you are not on a time schedule then wait out side. If the weather is bad or you have more house to see then both can view at the same time.

Would like to point out that an agent cannot keep another out of the home. They do not own the home.

I prefer not to show a house while another agent is showing, but will do so. What I do not like is another agent locking me out during our showing period, I file complaints for such behavior.

The last choice was a good one.  It does not bother me if somebody else is there when I am.
